

Wellstar Wellsource AI-Powered Intranet
Wellstar Health System is committed to transforming healthcare for all as one of Georgia’s largest health systems. Wellstar works to provide personalized patient care at its 11 hospitals, more than 400 medical offices, urgent care, rehabilitation, and other care facilities.
Wellstar is also transforming healthcare for providers and staff members. With over 34,000 employees, creating a cohesive sense of community was a challenge. The company’s legacy digital employee experience wasn’t helping to meet that goal. Its pages and newsletters were difficult to search for specific information, which frustrated busy employees. Wellstar envisioned a unified yet personalized, AI-enabled, responsive platform that supported connection and productivity. They turned to their ongoing employee experience transformation partnership with Rightpoint to bring their vision to life. The Rightpoint team had 35 weeks to plan, design, and create a transformative digital employee experience.

Optimizing the Digital Employee Experience with AI
Wellstar wanted the new intranet to give employees a single dashboard to access the tools and information they use every day, as well as easier access to outside resources. The project would require migrating data from legacy systems to Microsoft SharePoint Online and integrating ServiceNow, Workday, Firstup, and other platforms. The Wellstar team envisioned AI functionality as a foundational part of the intranet upgrade.
With the 35-week timeline in mind, the Rightpoint team strategically collected feedback and found that Wellstar’s busy employees wanted an intranet with helpful, context‑aware features for a personalized, intuitive experience that would anticipate their needs. Employee feedback also highlighted the need for unified management of the content underlying that experience. Those insights helped to define the project’s AI use case as AI‑powered search and intelligent content discovery across integrated platforms.
Designing for Scalable Omnichannel EX

Because Wellstar’s legacy systems and content structure were deeply fragmented, the Rightpoint team and Wellstar stakeholders had to undertake a full reset of the existing intranet’s information architecture and design. “As we moved from initial visioning to POC to phase-one launch, we uncovered Wellstar’s full suite of information across tools like ServiceNow, Moveworks, FirstUp, and Workday. Some of those tools were working really well, but the overall experience was disconnected,” said Steve Tonkin, Rightpoint Modern Workplace Director. “We planned an integrated landing area that reflected how Wellstar wants to support its employees and help them understand the organization."
In addition, Wellstar employees need to access information across a variety of devices. “Healthcare workers are on the go and often access the intranet with a tablet or their phone. They don’t have time to deal with multiple logins, loading problems, or tools that are hard to use on a mobile device. So, we designed the experience for all devices at once,” Goodwin said.

Rightpoint’s proprietary SPARK™ Workspace Accelerator and deep engineering and design expertise facilitated the team’s omnichannel design approach. Using SPARK, SharePoint, Microsoft 365, and Copilot Studio, the team was able to streamline development and implementation of the new intranet design. The focus on content readiness, taxonomy, and AI data integration planning allowed the Rightpoint team to keep pace with the approaching deadline. Along the way, the strong partnership between Rightpoint and Wellstar’s stakeholders created space for curiosity and strategic risk-taking to capitalize on new ideas as they emerged.
Rightpoint integrated employee tools such as ServiceNow and Workday in one smart, easy to use dashboard, which also streamlined content updates. The team also developed an AI content indexing tool, agent framework, and an AI-enabled search layer to deliver consistent and up-to-date information and insights across platforms and channels. “We had to determine what content belongs in the AI index, how Copilot surfaces it, and how to make that truly useful in the flow of daily work,” Tonkin said.
Strategic change management for better EX
New technology is only part of the employee experience transformation. As a people-focused organization, Wellstar understood the value of change management in preparing for the new intranet launch. “While we were working on development, design, and build, Wellstar was running a major internal campaign to drive excitement around the new intranet, branded as Wellsource. On Launch Day, their people literally went from facility to facility to see what employees thought of the new experience,” Spinale said. Wellstar also produced a short video to walk employees through the new intranet’s key features.

Wellsource was ready by week 35, as intended. Wellstar’s change management campaign drove employee awareness, and employees responded positively to Wellsource.
33% of employees used the new intranet within a few hours of its launch.
14% of employees customized their intranet experience and used the new AI-powered search tools on Launch Day.
81% of Wellstar’s total workforce visited the new intranet within 3 days of launch.
Launch Day feedback included appreciation from nurses and doctors about the ease of accessing important tools and information, and from HR about how the new platform makes PTO and open enrollment tasks easier. As positive as the reception has been, the Rightpoint team is already looking for ways to make the Wellsource experience better. “We're really proud of the new foundation we’ve built with Wellstar, yet we want to see how it can be better. We’re already getting awesome feature requests directly from employees and crafting more ideas for the next rollout,” Goodwin said.
